    Understanding Admin Roles: Company vs. Team vs. Group/Chapter Admins

    Overview

    Chezie has three levels of admin, and each one matches a level of your program: Company Admins manage the whole instance, Team Admins manage one program (Team), and Group/Chapter Admins manage a single community.

    Here's how your program is organized, from broadest to narrowest:

    1. Company — your organization's entire Chezie instance.
    2. Team — a program type, such as ERGs, Local Communities, or Interest Groups.
    3. Group — an individual employee community within a Team.
    4. Chapter — a sub-group within a Group, often by region or focus (for example, an EMEA chapter of a company-wide ERG).

    An admin can manage their own level and everything beneath it, but nothing above it.

    Some actions also depend on the individual permissions turned on for each admin. For example, an admin without View reports won't see the Reporting tab, whatever their level.

    Company Admin

    Company Admins are super users with access to every setting in your instance: company, team, group, and chapter.

    Best for: program owners, DEI or HR leaders overseeing every program, and IT stakeholders who manage integrations.

    What they can do

    • Manage Company Settings: view your active Teams, connect your Slack or Microsoft Teams workspace, connect your HRIS, and verify SSO/SAML.
    • Choose which HRIS attributes (like level, office, or department) are available for Teams to use.
    • Do anything a Team, Group, or Chapter Admin can do, across every Team.
    • Add or remove other Company Admins. This is the only role that can.
    • Act as a backup event approver when a Team has no Team Admin.

    Good to know

    • Need to give IT access to integrations only? Make them a Company Admin, then turn off every permission except Manage integrations.
    • Adding a new Team isn't self-serve, since Teams are a paid tier. Contact your Chezie account team to add one.

    Team Admin

    Team Admins oversee one program, such as your ERGs, with full visibility across every Group and Chapter in that Team.

    Best for: program managers who run a portfolio of groups and handle approvals, budgets, and reporting.

    What they can do

    • Manage Team Settings: budget cycles, feature controls for the Team's groups, and Team Admins.
    • Map Slack or Microsoft Teams channels to specific groups, connect calendar accounts (for example, ergs@yourcompany.com), and connect Zoom or Webex.
    • Choose which company-approved HRIS attributes the Team's groups can use.
    • Create, manage, and delete Groups and Chapters within their Team.
    • Approve events (Team Admins are the default approvers when approval is required) and approve expenses.
    • View and export reports across all groups in their Team.
    • Add Team Admins, Group Admins, and Chapter Admins within their Team.

    What they can't do

    • Change Company Settings, such as HRIS, SSO, or the Slack/Teams workspace connection.
    • See or manage other Teams.
    • Add Company Admins.

    Group and Chapter Admins

    Group and Chapter Admins run a single community day to day. They have full control over their own group or chapter, and nothing else.

    Best for: ERG leads, co-chairs, and chapter leads.

    What they can do

    • Manage members, including reviewing join requests for private groups in the Members tab.
    • Create, edit, and cancel events for their group or chapter.
    • Submit expenses and track their budget.
    • Send communications to their members.
    • View and export reports for their group or chapter.

    Group Admins can also:

    • Access every Chapter in their Group automatically, with no need to be added again as a Chapter Admin.
    • Create and delete Chapters within their Group.
    • Add other Group Admins and Chapter Admins for their Group.
    • Customize their Group's join form.

    What they can't do

    • Approve expenses. This is handled by Team Admins and Company Admins.
    • Approve events when your program requires approval. They can finalize events when approval is turned off.
    • Change Team or Company Settings, or see other groups' data.

    Functional role labels such as Champion, Co-chair, Treasurer, or Executive Sponsor appear on the group's page in Discover. They don't change what an admin can do. To update them, email support@chezie.co with each person's name, email, and new role.

    How to add an admin

    You add admins from the Settings page at the level you want them to manage. You can only add admins at your own level or below.

    1. Go to Settings, then open the right settings area: Company Settings for a Company Admin, Team Settings for a Team Admin, or the group's (or chapter's) settings for a Group or Chapter Admin.
    2. Click Admins.
    3. Click Add new admin.
    4. Type the employee's name, then select them from the list.
    5. Select the permissions they should have.
    6. Click Invite.

    To change an existing admin's permissions, open the same Admins page and edit their permissions there. For a full list of what each permission does, see Admin permissions, explained.

    FAQ

    Can one person hold more than one admin role? Yes. Someone can be a Group Admin for several groups, or a Team Admin who is also listed on a specific group. Their access is the combination of all their roles.

    Do I need to add a Group Admin to each Chapter separately? No. Group Admins automatically have access to every Chapter in their Group. Add someone as a Chapter Admin only if they should manage that one chapter and not the whole group.

    Why can't our Group Admin approve an expense? Expense approval sits with Team Admins and Company Admins, so there's a check outside the group that's spending the budget.

    Who approves events if our Team has no Team Admin? Company Admins act as the backup approver, so events don't get stuck waiting.

    Why can't I see the Reporting tab? Reporting depends on the View reports permission. Ask an admin above you to turn it on.

    What's the difference between an admin role and a functional role like Co-chair? The admin role controls what someone can do in Chezie. A functional role is a label shown to members in Discover and doesn't change access.
